Procurement Coordinator
We are an expanding interior design studio seeking a meticulous and resourceful Procurement Coordinator to oversee the sourcing, purchasing, and logistics of furniture and furnishings for our diverse portfolio of projects. Working hand-in-hand with our design team, you will help bring our visions to life—ensuring every piece arrives on schedule, within budget, and in pristine condition.
Responsibilities

Procure furniture, soft furnishings, lighting, and decorative accessories in line with project specifications and design briefs

Build and maintain strong relationships with suppliers, showrooms, trade vendors, and artisans

Negotiate pricing, lead times, and trade terms to maximise value for clients and the studio

Raise and manage purchase orders, track order status, and proactively communicate updates to the design team

Coordinate delivery schedules, storage, and installation logistics with contractors and clients

Review and reconcile invoices, manage procurement budgets, and flag variances

Maintain an up-to-date supplier database

Handle claims, returns, and quality issues with suppliers efficiently and professionally

Support the design team with product research, availability checks, and lead time guidance during the concept phase

Prepare and issue client invoices for procured items, ensuring accuracy against purchase orders and project budgets

Maintain and update finish schedules throughout each project, keeping specifications current as selections are confirmed or revised

Compile and send weekly project status emails to clients, summarising order progress, upcoming deliveries, and any outstanding decisions or approvals required

Qualifications

Bachelor's or Associate's degree in Interior Design or a related field

3–5 years of procurement, buying, or project coordination experience, ideally within interior design, architecture, hospitality, or a related creative industry

Solid knowledge of the furniture and furnishings market — trade suppliers, lead times, and quality benchmarks

Confident negotiator with strong commercial awareness

Highly organised with excellent attention to detail and the ability to juggle multiple projects simultaneously

Strong written and verbal communication skills
Key Skills

Design Software Proficiency: Quickbooks, Asana, Canva, Google Docs, Claude, SketchUp a plus

Additional Information
This is a full-time position with opportunities for advancement. This role will require a minimum of 3 days in the studio per week. Compensation will be commensurate with experience and qualifications.
